As a wedding venue owner and cake artist who’s worked with countless couples over the past decade, I’ve seen the nerves and the budget worries firsthand. Many couples worry about being overcharged or finding vendors who just don’t deliver. But trust me, you can have a stunning, affordable wedding without breaking the bank.

Suddenly, the entire budget can be blown before you even talk to planners, florists, DJs, etc. Always, always ask what the requirements are beyond just renting the space.

    That’s why we prioritize transparency in our pricing at Rose Haven. We offer flexible options so you can choose what fits your needs, from full-service packages to DIY options. You can be confident that every dollar spent is going towards creating the beautiful day you’ve envisioned. Although we proudly recommend our trusted vendors, you are never required to use them, and are welcome to bring your own, as long as they are professional, vetted, and insured.

    Let’s talk about a few creative ways to stretch your budget:

    • Repurpose Ceremony Decor for the Reception: Many decorations, like aisle flowers, arch decor, or ceremony backdrops, can easily be transitioned into reception decor. For example, floral arrangements used in the ceremony can become centerpieces on reception tables, and archway drapery can be repurposed to dress up the sweetheart table. This approach maximizes your decor’s impact without needing to buy double.
    • Use Lighting to Create Ambiance: Lighting can be one of the most effective, affordable ways to elevate your venue. String lights, lanterns, or candles can transform a space and make it feel magical without breaking the bank. Focus on ambient lighting to create warmth and romance, especially if you’re hosting an evening reception. Often, the right lighting can make even a minimalist decor look luxe.
    • Opt for In-Season, Local Flowers: If flowers are a must for you, choosing in-season, locally sourced blooms can save significantly on costs. Out-of-season flowers usually require special ordering, which drives up prices. Your florist can guide you to the best options available for your wedding season. Greenery and faux florals are often touted as less-expensive alternatives, but that’s not always the case. Your florist and coordinator can help guide you according to your taste and design.
    • Use What Your Venue Has: Some venues, like Rose Haven, include the tables and chairs in the venue rental cost. This is a significant savings over having to rent everything. Farmhouse tables do not need expensive linens and are beautiful on their own, with minimal decor. Ask if setup and breakdown are included.
    • DIY Small Elements: It’s tempting to take on a lot of DIY projects, but focusing on one or two manageable ones can save both money and stress. Some easy DIY projects include creating your own table numbers, customizing seating cards, or crafting simple favors for guests. Pick projects that you enjoy and that won’t take up too much time in the weeks leading up to your wedding.
    • Minimalistic Table Settings: Sometimes, less is more. Using elements like a single flower or sprig of greenery at each place setting can look sophisticated and save on rental costs. Instead of renting elaborate glassware, chargers, and dinnerware, opt for elegant disposable plates and utensils. They are so good now that they are often prettier than plain china. And are so much easier (no hauling or washing!) and less expensive.
    • Rent, Buy Used or Borrow Decor Items: Instead of buying all new decor, check with family and friends who might have items like candle holders, photo frames, or other decor pieces. Facebook Marketplace and wedding groups are excellent places to find decor previous couples are selling. Rental companies offer decor packages that allow you to use high-quality pieces at a fraction of the cost. Many venues also offer ‘decor closets’, where you can use their inventory to DIY some of your decor at minimal or no additional cost.
    • Carefully Curate Your Guest List: The easiest way to stretch your budget is to limit your guest list. Every guest represents a significant cost as they will each need food, drinks, rental items, etc. You can have elevated choices in the same budget when you have a smaller guest count. For example, in the same budget dollars you could have a much nicer dinner for 50 than trying to feed 250.
    • Carefully Consider Your Bar and Beverages: One of the biggest budget hits comes from the bar. Alcohol and bartenders are expensive. We are seeing a lot of dry weddings to avoid that cost altogether, and they still seem to have a great time! Or just have a champagne toast. There are many cost-saving bar options that will still ensure happy guests. Lean on your venue and planner to explore all your options, and make sure to ask what your venue requires when it comes to bar service.

    5. Addressing the ‘Wedding Tax’ Myth

    There is a huge myth floating around that has gained a ton of momentum over the past few years, and that is the ‘Wedding Tax’. The myth is that as soon as you tell a vendor it’s a wedding, they jack up the price on you. This has led some couples to even lie about having a wedding! They think that telling vendors it’s just a birthday party or something like that will keep the costs down. Some vendors will cancel your services if you violate their contract by lying to them about the type of event, so beware!

    There may be certain unscrupulous vendors that actually DO this, but in my experience it’s extremely rare to non-existent. But a ‘wedding markup’ would ONLY be shady if it’s exactly the SAME service for any type of event. A fajita bar is a fajita bar, for example. A photobooth is a photobooth. Linens are linens. You get the idea.

    The venue should cost the same, unless there are parts of the venue that are only rented out for weddings, like extra getting ready suites or additional areas, that wouldn’t be rented for a party. On the flip side, our venue doesn’t cost less for an event that’s not a wedding, as a lot of people think it should. It does cost less on weekdays versus Saturdays, but that’s because of peak demand days for ANY event. We constantly get calls that say, ‘but it’s a **insert event here** not a wedding, can I get a discount?’ The overhead, maintenance, and expenses are the same no matter what the space is being used for.

    Some services are even less expensive for a wedding. When I was a cake artist, wedding cakes were usually the least expensive per serving, BUT they tended to be very large averaging 120-150 servings, which drove up the cost. The wedding cake that is plain white buttercream would be far less expensive than a fancy decorated party cake of the same size and servings.

    For some vendors, a wedding requires a lot more work, and therefore the price is higher. Yes, it’s because ‘it’s a wedding’, but it’s because the wedding process requires a lot more time and effort. A DJ is a great example. For a party, they just show up and play some rocking tunes. For a wedding, it’s a LOT more involved, meetings in advance to create playlists, specific songs for different parts of the wedding (processional, recessional, etc), make announcements throughout the evening, follow the timeline and act as a defacto coordinator, know everyone’s names to introduce the wedding party, etc. It’s a whole different animal.

    Weddings also tend to be more expensive than other events because there are so many elements and traditions for weddings that you just wouldn’t have at other events. Like you wouldn’t have a wedding officiant at a baby shower! And you wouldn’t need bridal and wedding party bouquets, aisle florals, and ceremony arches for a sports banquet. A dress for a party is most likely a lot less expensive than a wedding gown. So these are ADDITIONAL elements that do drive up the cost of weddings.

    When you’re planning your dream wedding, finding the best vendors is key. You want your florist to bring your vision to life, your caterer to dazzle your guests’ tastebuds, and your photographer to capture every precious moment. But here’s something you might not know: the best place to find those top-notch vendors isn’t a huge corporate wedding website or throwing a Hail Mary in a wedding Facebook group—it’s through your locally owned Austin wedding venue. Surprised? Let me explain.

    Big Corporate Wedding Websites: Not as Honest as They Seem

    Before we dive into why local venues are your best bet, let’s talk about the big national corporate wedding websites. You all know the names. At first glance, these massive wedding platforms look like a convenient one-stop-shop for finding vendors, but behind the scenes, things aren’t so picture-perfect. These companies are in the midst of whistleblower lawsuits, accused of being less than honest with couples and literally DEFRAUDING their own vendor advertisers! Why? Because they force vendors to pay exorbitant advertising fees, then provide fake leads and other deceptive practices. And they were in the middle of a merger and acquisition, so they were allegedly artificially inflating the value.

    The best vendors—those who truly care about their clients and produce high-quality work—have started pulling away from these platforms. Why? Because they’re tired of paying exorbitant advertising rates only to receive bogus or even SCAM leads who are trying to steal their money through the phishing schemes. And reducing the oppressive advertising fees allows them to keep their prices down.

    Also, if you notice, so much of the ‘advice’ published by these big websites literally encourages DIY and tells couples many ways of NOT using the very vendors that pay their advertising rates! Ostensibly, this is for couples to save money, but so much of the advice they post is so wrong that it can end up costing more in the long run.

    WHY would the best vendors pay thousands of dollars a year to be on a site that literally tells potential clients NOT to use them? They wouldn’t. This means that you’re not getting the full picture when you rely on these sites. You’re only seeing who will pay to be there, often naive new vendors who have not caught onto their game yet, not necessarily who’s the best at their craft.

    My Personal Experience With the Corporate Platforms

    My personal experience as a former bakery owner turned me against them years ago. As a cake artist, of course I thought I needed to be on there when I was a new business! I was definitely one of those naive new vendors. So I paid for a premium placement. It was over $500 per month even way back then. I received very few leads, and those I did receive rarely responded when I immediately contacted them back after an inquiry. The majority did not have adequate budgets for custom cakes. I definitely didn’t receive a positive return on my investment. Most of that money I spent was completely wasted.

    They make sure to post your COMPETITORS’ information on YOUR ad listing, unless you pay extra to have them removed. But the thing that infuriated me, and led me to cancel my account with them many years ago, was the myths and lies they promoted in their articles. EVERY. SINGLE. CLIENT. CONSULTATION — they came in asking the same old questions that they had read in the blog posts that the big corporate sites wrote about wedding cakes, which was terrible misinformation. I had to gently educate almost every client about how wedding cakes actually worked, and their ‘advice’ to save money was bogus at best, and damaging to the bakery industry at worst.

    For a couple of years, some of the top cake artists around the nation, myself included, banded together and submitted information and articles to them, reflecting factual information about wedding cakes and BEGGING them to actually talk to REAL wedding cake professionals for advice and guidance. Our efforts were rejected outright. They refused to listen to true professionals and kept publishing misinformation. In frustration, I canceled my account, which they purposely made very difficult to do, and they attempted to strongarm and bully me. I’m not one to be bullied, so I eventually prevailed. I never missed being on there at all. Didn’t make an ounce of difference in my business.

    This is not everyone’s experience. I know of some bakeries that really like them and feel they got a return on their investment. But even they were frustrated with having to deal with educating each client to counteract the mistaken beliefs they had due to the myths purveyed.

    Why Locally Owned Austin Wedding Venues Are Your Secret Weapon

    Now, contrast that with locally owned wedding venues throughout Austin and the Texas Hill Country. These venues don’t just slap together a list of vendors who can fork over cash. They certainly can if they wanted to. Vendors vie to make the coveted “preferred vendor list” of the top wedding venues. Venues constantly receive requests from vendors asking to be placed on the preferred vendor list, often out of the blue with just a cold call. They are often willing to pay to be on the list.

    But most venues carefully curate their lists, usually requiring that the vendor work at least one–if not several–weddings at the venue before they will even be considered as a preferred vendor. Week after week, they work closely with a variety of vendors, getting firsthand experience with who delivers excellent service and who…..well, doesn’t.

    Pro Tip: Your locally owned wedding venue often has a Do Not Hire list, or a list of vendors whose behavior was bad enough to cause them to be banned from working future events. Examples include: no-showing, being intoxicated on the job, damaging the venue, breaking rules, etc. For obvious and legal reasons, these lists are privately held. Ask your venue if they have any vendors they recommend you avoid. Most can tell you some DOOZIES of a story about rogue vendors!

    When you book a locally owned venue, you’re not just getting a beautiful space; you’re tapping into a network of trusted local professionals. These venues want your day to be perfect, and they’re not going to recommend a vendor just because they’re getting a kickback (which is a common practice at corporate venues—more on that later). Local venues often know these vendors personally. They see how they handle weddings, how they treat clients, and how they respond when things get stressful. In other words, they’ve seen it all—and they know who’s truly the best.

    Big Corporate Venues: More Business, Less Heart

    On the flip side, corporate wedding venues might seem appealing with their flashy brochures and long vendor lists, but here’s the catch: the owners of these big venues aren’t usually involved in the day-to-day operations. They’ve hired staff (with high turnover rates, no less) to manage events, and that personal touch is missing.

    Many corporate venues also require vendors to pay to be on their “preferred vendor” list, or they strike deals to take a percentage of what you pay those vendors. This practice creates a system where the recommendations are based on financial gain for the venue, not on who will make your day magical. You might think you’re getting the best, but you’re really just getting who is willing to pay to play. It’s not about your experience; it’s about their profit.

    Many of the vendors are forced to mark up their prices to cover the cut the venue takes, or they reduce the level of service, so the clients end up paying more and/or getting less than they would if they hired the vendor independently. This is why it’s a good idea to be wary of all-inclusive packages from corporate venues. There can be a lot of padding in there.

    Supporting Local, Building Trust

    Locally owned venues are small businesses, just like many of the vendors they work with. When you choose to book with a local venue, you’re not only supporting the venue but the whole community of wedding professionals. You’re putting your trust in people who live and work in the area, and take pride in what they do. They’re not in it for the short term; they’re building long-term relationships and reputations.

    At the end of the day, locally owned venues have a vested interest in making sure you have the best possible wedding because they care about their reputation and the community they serve. They don’t just recommend vendors—they guide you toward trusted professionals who’ve proven their worth time and again. Your locally owned venue owner will advocate for you and look out for you, including doing their best to keep you in budget while providing the best experience.

    Many locally owned wedding venues are very large, and some even require you to choose vendors from their preferred list. This is not necessarily a bad thing, as these lists often come from the venue finding out who best fits them and their clientele, and not having the time or bandwidth to vet tons of new vendors every week for large events. The difference is that it’s born of a relationship, not a paid subscription.

    Some of the larger, fancier locally owned venues do have lovely brochures. They do charge to be in those brochures to cover the printing costs, which is reasonable. But that’s where it ends. We are a preferred rehearsal dinner venue for one of the beautiful large local venues, where we did purchase an ad in their brochure. But they have never required or asked for a dime of kickback money. Only the vendors they approved were even offered the opportunity to be in the brochure. We know the owners and staff very well, and love to work together.

There is no substitute for in-person networking, where you truly get to know people and become friends outside of work. You refer people who you know, like, and TRUST.     How the Venue-Vendor Relationships can Save the Day

    Many of the vendors on our preferred list are not only professional partners, but personal friends. At Rose Haven, I call them ‘Friendors’! These relationships can greatly benefit you in a pinch. For example, we recently had a client plan a party on rather short notice, and they picked the BUSIEST, CRAZIEST date on the entire calendar, where it was not only a big wedding weekend, but also had the F1 Race, Eminem concert, AND the Texas vs UGA game going on, bringing hundreds of thousands of visitors into Austin.

    I was helping them find a caterer, and every one I talked to was booked up to their eyeballs. Finally, one of our favorite caterers, where I was good friends with their manager, said they could help us out. Without that relationship, if we had just been someone inquiring randomly that they didn’t know, they would have said they were booked. Because of our relationship, they moved heaven and earth to provide us with their delicious food at a great price. Even if it was just a drop-off service, which was all they could manage since they had no additional staff available. No problem–again, I have relationships with lots of vendors, and we were able to professionally staff the catering ourselves, which proceeded flawlessly.

    The flip side to this is that locally owned venues are the GREATEST source of referrals to many event vendors, and they will go out of their way to help us out, because they want to further enhance our relationship. They know that they will benefit in the future by doing an amazing job of servicing our clients in immediate need today, leaving a great impression with the venue. Word of mouth and local reputation are of paramount importance to event vendors, and it’s amazing what they will do to go above and beyond to provide excellent service. You better believe I will recommend that caterer going forward because of how they helped us when we were in need.

    Vendor Services are NOT a Commodity!

    Having never planned a large scale event before, much less an event with the incredible importance of a wedding, most people assume that the vendor services are a commodity–all the same. A DJ is a DJ. A caterer is a caterer. A florist is a florist. Right? So they think the only differentiator is price, and think that the lowest priced vendor is the best choice. Not saying that they can’t be both the best and the best price, but that’s rare. Each vendor is completely different, has their own style, and brings different strengths and talents to the table. The key is finding the best VALUE for your unique wedding, as the services are very nuanced and customizable.

    Also, there are vendors out there that most couples wouldn’t even know existed! Say you are looking for a really unique experience for your wedding, maybe along a theme. Do you want Armadillo races? I know a guy. Do you want trained owls to swoop down the aisle delivering your rings in dramatic fashion? I got you. Do you want an adorable Italian mini-truck for Sips and Nibbles? I know a gal. Do you want vintage 80’s video games? Let me make a quick phone call. ASK US what is out there! We love to be creative for you!

    A Note on Wedding Planners

    We cannot emphasize or recommend more that you hire a planner for your wedding. A full service planner from Day One is the most ideal. But at the very least, a Month-Of coordinator, for someone who will handle all the logistics and stresses of the actual wedding day for you. Many of our clients have very tight budgets, and mistakenly think the planner is one of the big expenses to cut out. The planner can actually save you money, as they know all the elements of the wedding day, and can guide you on the best allocation of your budget.

    Even though your venue knows and trusts all the best vendors, that does NOT mean they will plan your wedding! A venue manager or coordinator is working for the venue, to ensure everything is clean, set up, and maintained beautifully for your wedding day. They will help guide vendors on setting up in the venue, but they will not be handling your timeline and other details. The venue coordinator is there on behalf of the VENUE and to look after the venue’s interests, which of course means making sure you have the best experience possible!

    Your planner is working on YOUR behalf. It is a separate role. They also know most of the same vendors that venues do, and work with them on a regular basis. They also have their own preferred vendor lists. We love and trust our wedding planners, and feel that if they are bringing a vendor to us, that they must have thoroughly vetted them previously. So even if it’s a vendor that the venue hasn’t worked with before, there is a level of comfort there.

    Trust Your Locally Owned Austin Wedding Venue–and Relax!

    So, when you’re planning your wedding, skip the stress and uncertainty of wading through impersonal online directories. Be very careful posting on Facebook groups asking for ‘reasonably priced’ or ‘budget friendly’ vendors. Those terms mean nothing. What is ‘reasonable’ to one couple might be way out of budget to another. Unprofessional, amateur, fly-by-night people will flock to those posts, and keep undercutting each other in a race to the bottom. Some may be actual scam artists. So many sweet, trusting couples get burned badly by these people, who often don’t show up on your big day, ghost you after you’ve paid your deposit, go out of business before your wedding because they weren’t charging enough to survive, or deliver far below the level of service that they promised.

    Lean on your venue. They truly have your best interest at heart and will guide you. They have no motivation to cost you extra money, because there is no financial incentive for them. And if our clients bring in unprofessional vendors, they can potentially cause many problems, sometimes even damage and liability, costing the couple their damage deposit. Trust your locally owned wedding venue to guide you toward the vendors who will make your wedding day everything you’ve dreamed of—and more.

    A wonderful idea is to have each guest bring in their favorite dish to share, and the recipe for that dish printed on a piece of paper. Enjoy all the delicious food made with love. Collect all the recipes, put them in a decorated binder, and now you have cherished family recipes all in one special cookbook! It’s even better to have a laminator and hole punch to preserve and protect them, and make it easy to build the binder. Be sure to check with your venue to ensure they allow bringing in potluck food.     So, you’ve decided to tie the knot in one of the most magical places on Earth—Austin, Dripping Springs, and the Texas Hill Country. Excellent choice! This region is a destination wedding dream, with gorgeous landscapes, charming venues like Rose Haven, and endless things to do. Dripping Springs was literally awarded the title of the “Wedding Capital of Texas” in 2015 by the Texas State Legislature!

    But planning a destination wedding in Austin and surrounding areas, especially in an area with limited hotel and transportation options like the Hill Country, can be tricky. Don’t worry—we’ve got you covered with this guide to make your Austin or Hill Country wedding unforgettable.

    Why Austin and the Texas Hill Country are Wedding Heaven

    Imagine this: rolling hills covered in wildflowers, stunning sunsets, and charming venues like Rose Haven Event Venue, where you can create intimate memories with family and friends.     Over the decade-plus when I was creating wedding cakes in this area, I noticed that a huge percentage of our clients were destination, at times half or more. Most of those clients were coming from the Houston area. Houston couples choose to get married in the Hill Country for the incredible views and unique venues, and many told me they wanted to escape the heat and humidity of Houston. Well, you won’t escape the heat up here! But the humidity is definitely less.

    A big concern of most of our destination clients when designing their wedding cakes was how many servings to make, because they were unsure of how many of their guests would be willing to travel for the wedding. Almost without fail, they had far more RSVPs than they expected, and many times we found ourselves having to add cake servings in the weeks just before the wedding, as they underestimated their guest count. Austin and the Texas Hill Country is a HUGE draw that entices people to use the wedding as a wonderful ‘excuse’ to vacation to this area, and they love to come in early and stay after to explore on their own. Definitely provide guests with some ideas of things to do before and after the wedding!

    Lack of Hotels? No Problem!

    Let’s be real—the Texas Hill Country doesn’t have a ton of hotels yet although we’ve had some built very recently, and that can seem like a big hurdle when planning a destination wedding. Rose Haven is partnered with the wonderful new Dripping Springs Sleep Inn just minutes away. Use our proprietary link on our Vendors page to investigate your options. Not only do they graciously offer our clients and their guests a nice discount on their rooms, but they also provide free shuttles back and forth to Rose Haven, alleviating another big concern–transportation!

    But guess what? Airbnbs and vacation rentals are here to save the day! Not only can your guests find unique and charming places to stay (hello, dreamy ranch houses and cozy cabins), but they’ll also get that local Texas experience. Imagine being able to step outside under the “Dark Sky” filled with stars and soak in a true Hill Country experience. Or look out over sunsets that literally take your breath away.

    I took all these from my back porch. The variety is incredible.

    When the song says “The Stars at Night, Are Big and Bright (clap clap clap clap) Deep In the Heart of Texas……………..they aren’t kidding. But the moon doesn’t get enough credit! It can shine like the sun when it’s huge and full.

    So many of our local vacation rentals are owned by people who live in Dripping Springs, they are dear friends of ours in real life, and we know what incredible hearts they have to share their slice of Hill Country Heaven.     Many couples even opt for “wedding weekends” where their guests stay in nearby vacation rentals, giving everyone a mini-vacation vibe.     Pro-Tip: Plan for Transportation

    Since many of your guests will likely be staying in Airbnbs or vacation rentals scattered throughout the area, make sure to plan for transportation. Shuttles can make it easy for everyone to get to and from the venue without any stress. Uber and Lyft are VERY difficult to get at the places that are deep in the Hill Country, especially those located way up dark, twisty, two-lane roads, late at night it’s often impossible. Fortunately, there are wonderful local rideshares and shuttles owned by Hill Country residents, who are willing to drive anywhere in the area, and we love to work with. We can help you connect with them. Rose Haven has the distinct advantage of being located within minutes of South Austin, on a main road, and we have no problem with the regular rideshares coming here for our clients.

    2. Set a Date (or a Range)

    One of the first questions people will ask is, “When’s the big day?” While you don’t need to have an exact date immediately, having a rough idea can help during the initial planning stages. Consider the season, the venue availability, and any special dates that are meaningful to you as a couple.

    In Austin and Central Texas, considering the season is VITALLY important! Weather is a huge factor here. It’s HOT. Miserably hot during the summer and into fall. Storms can wreak havoc. Big events like South by Southwest, Austin City Limits, F1 Races, and big Texas home football games can dramatically affect your wedding logistics and planning.     3. Discuss Your Wedding Budget

    The foundation of your wedding planning should be your budget, and must be established first. Sit down with your partner to have an honest and open discussion about how much you’re willing and able to spend. You also may need to have a conversation with your parents or other people who may be willing to help with wedding expenses. Your budget will guide all other decisions, from the venue to the guest list.

    Most couples have no idea of how much to budget for all the elements necessary to host an event, because they have never hosted one! This is where a wedding planner is so incredibly helpful, as they can give you expert guidance on how to allocate your budget properly.

    At the end of the day, a wedding is just an event, with extra elements specific to the wedding that don’t happen at regular parties and other events. There’s a feeling out there that vendors gouge couples just because it’s a wedding, but mostly that’s not true. ALL events are expensive, not going to lie! For example, catering a fajita bar, BBQ, or prime rib buffet will be the same price per person, regardless of what kind of event where it is served. Most other expenses are the same regardless of the event, and are simply based on the amount of guests and costs/work involved.

    Some vendors do MUCH more for weddings than they do for other parties–like DJs for example. Their wedding responsibilities are FAR greater and more crucial to the timeline of a wedding than just playing bumping music at a party, so yes the extra work means extra expense. Weddings have some elements that don’t happen at most events, like the bridal and bridesmaid bouquets, the wedding dress and veil, special ceremony floral arches and aisle decor, etc. Those drive the overall cost up more than a similar-sized event, but it is not ‘gouging’.

    Remember to account for unexpected expenses (which WILL happen!) by setting aside a small contingency fund.

    4. Start a Guest List

    Drafting a preliminary guest list will help you decide on the size of the venue and overall scale of the wedding. It doesn’t have to be final, but having a rough estimate is crucial in the early planning stages. Discuss who you’d like to invite and consider any family obligations. Think about who will need to travel in from out of town and how likely they are to attend.

    In the Austin and especially the Dripping Springs/Hill Country “Wedding Capital of Texas” area, we have a huge percentage of destination weddings, and our couples are often surprised at how many of their guests will travel for the wedding. But Austin and the Texas Hill Country are a huge tourist draw anyway, so many guests will jump at the chance to come and stay a few extra days to enjoy our gorgeous countryside, fun activities, and amazing amenities!

    Does your budget allow for a big bash of a few hundred guests? Or will you need to keep the guest list very small? The absolute best way to save on the budget for a wedding is to limit the guest list, but that can create emotional issues and very tough decisions. Decide whether you will allow children or not, as they do count as a guest for budget purposes.

    5. Research Venues

    Your venue will set the tone for your wedding day, so start researching locations as early as possible. Do you envision a chic Downtown Austin hotel, a Texas Hill Country retreat, a historical setting, a rustic barn, a Lake Austin view, or a glamorous ballroom?

    How many guests will you need to accommodate? You don’t want your venue to be either too cramped or too big so everything looks lost in a giant room.

    Does your venue have a rain and weather plan? You may be dreaming of an outdoor ceremony, but that can be very tricky in the Austin area. The heat is no secret, and always the first consideration. We can have terrible storms pop up with no warning. Thunderstorms with huge hail and tornados have been a problem in Central Texas over the past few years. Carefully consider a weather plan.

    What does your budget allow? Be sure to thoroughly research what is included with each venue rental, so you’re comparing apples to apples. The venue rental may be just the start, and some have a lot of hidden fees that may cause budget issues later. Some require big food and beverage minimums and that you use only their vendors. Some include tables, chairs, and other rentals, and some do not.

    Even with a limited budget, you can still curate a luxury wedding experience. For example, Chapel Dulcinea, a stunning Tuscan-style wedding chapel on a hill with breathtaking views, can actually be FREE if certain parameters are met. Many of our couples hold an intimate ceremony at the chapel, and then a larger reception here at Rose Haven, less than ten minutes away. Or you can enjoy your ceremony in our beautiful rose gardens, then come inside to our comfortable climate-controlled venue and eat, drink, and dance the night away!

    Once you’ve narrowed down your options, schedule visits to see them in person. There is no substitute for experiencing the venue yourself. Each one has a different vibe, and you will find the one that resonates with your heart.

    Your venue often will have a thoroughly vetted and experienced preferred vendor list to share with you once you’ve booked, and those resources are invaluable to the rest of your planning.

    6. Hiring a Wedding Planner

    Hiring a wedding planner can save you time and stress, and very often—money. Planners bring expertise, vendor connections, and can ensure everything runs smoothly by knowing how to craft perfect timelines and coordinate vendors. They have seen hundreds of weddings and crazy scenarios that can pop up, and know how to avoid issues before they even arise. They will also think of MANY things that you would never even have thought to consider, because they are well-schooled in the logistics of events as well as the aesthetics.

    The prices of wedding planners are often a sticker shock at first, but the value and peace of mind they provide is priceless. And by expertly guiding you on your budget allocation, they may even save you enough money to offset the cost. Even if you choose not to hire one for the full planning process, a month-of coordinator is crucial. The venue coordinator is NOT your day-of coordinator. They are there to ensure everything works well from the venue side, but your timeline, vendors, guests, etc are not their responsibility. It’s important that you have your own planner who knows YOUR wedding inside and out.

    Interview several planners, check their references and reviews carefully, talk to former clients if possible, and most importantly see how well you relate to them. They should be like a really knowledgeable best friend with your best wedding day experience at heart.

    7. Create a Vision Board

    To make your dream wedding a reality, you need to visualize it first. Create a vision board with wedding themes, color palettes, and decor ideas that resonate with your personal style. Platforms like Pinterest can be a treasure trove of inspiration.

    8. Book a Photographer

    Photographers can book up fast, especially ones in high demand, so it’s wise to start your search early. Look for photographers whose style matches your vision and check their availability for your chosen dates.

Look into coverage options that protect against unforeseen circumstances like venue/vendor cancellations, weather issues or travel disruptions. Many venues have started to require it, as it’s so affordable and covers wedding-specific issues that nothing else will cover–like your florals being damaged, or catering not arriving.
